Volunteers Terms & Conditions




Eligibility & Registration

Volunteers must be at least 18 years old and provide valid photo ID.

Volunteers must complete the application form and submit the required $40 deposit.
Deposit & Refund Policy
-
A $40 deposit is required to confirm placement.
-
The deposit will be refunded if all assigned shifts are completed as agreed.
-
Deposits may be withheld if volunteers fail to complete their shifts, arrive late, or violate festival rules.
Shift Allocation & Attendance
-
Volunteers will be assigned shifts in advance, with final allocation done on-site.
-
Each volunteer must complete three (3) eight-hour shifts.
-
Breaks of 20 minutes will be provided per shift.
-
Shift swaps are only permitted with prior approval from the manager.
-
If you cannot volunteer, you must notify us at least two (2) weeks before the festival. Failure to do so may result in forfeiture of your deposit.
Conduct & Responsibilities
-
Volunteers must wear appropriate clothing and sturdy footwear; high-visibility jackets will be provided.
-
Alcohol consumption is strictly prohibited during shifts.
-
Volunteers are expected to act professionally and follow all instructions from festival staff.
-
Misconduct, lateness, or failure to follow guidelines may result in removal from the volunteer team.
Accommodation & Facilities

Volunteers must bring their own camping gear.
-
Designated volunteer camping areas will have showers, toilets, and basic lighting.
-
Free parking will be provided to volunteers.
-
Reusable water bottles are required; personal food can only be consumed in the campsite (not in the main arena).
Festival Benefits
-
Volunteers will receive one meal voucher per shift.
-
When not working, volunteers can enjoy the festival as general attendees.
-
Those interested in event management can spend time with the festival director for insights and experience.
Communication
-
All important updates will be communicated via email and SMS.
-
Volunteers must check messages regularly for any shift or role updates.
-
Radios are signed out with a expectation of return at end of shift
Age & ID Requirements

All volunteers must be 18+ and provide a valid ID before starting shifts.
Shift Commitments

Volunteers must work their allocated shifts. Shift swaps require prior approval.
Punctuality & Attendance

Volunteers must arrive on time for all shifts.
-
Late arrivals or no-shows may result in deposit forfeiture.
Dress Code

Sensible clothing and sturdy footwear are required (no sandals or Crocs).
-
High-visibility jackets will be provided and must be worn during shifts.
Conduct & Behaviour
-
Volunteers must remain professional and respectful at all times.
-
Alcohol and drugs are strictly prohibited during shifts.
-
Any misconduct will result in immediate removal from the volunteer team.
Facilities & Welfare
-
Volunteers must bring their own camping equipment.
-
Free parking is available in the designated volunteer area.
-
Meal vouchers are provided per shift; outside food is allowed only in the campsite.
-
Volunteers should bring a reusable water bottle.
Safety & Emergencies
-
Volunteers must follow safety guidelines and report any incidents to supervisors.

First aid will be available on-site.
Communication & Updates
-
Important festival information will be sent via email and SMS.

Volunteers must check their messages for updates regarding shifts and responsibilities.
Festival Access
-
Volunteers can enjoy the festival when not on shift.
-
Any violations of festival rules may result in removal from the event.
Health & Safety Briefing
-
Volunteers must attend a pre-event health & safety briefing.
-
First aid training or emergency procedures may be covered during the briefing.
Insurance & Liability
-
Volunteers must acknowledge personal responsibility for risks and sign a waiver before starting their role.
-
Your man or woman responsibility to not injure or harm is contained in your volunteer agreement waiving all liability to Lodge Stock.
Code of Conduct Expansion
-
Volunteers must be mindful of their interactions with festival attendees and fellow staff.
-
Social media posting about the event while volunteering should be done responsibly and in alignment with festival policies.
Uniform & Equipment
-
High-visibility jackets will be provided, but volunteers should bring weather-appropriate clothing.
-
Valuables should be kept to a minimum, as the festival is not responsible for lost items.
Weather Contingencies
-
Volunteers should prepare for various weather conditions by bringing waterproof clothing and sun protection.
-
Extreme weather policies will be communicated as needed.
Check-In & Departure Process
-
Volunteers must check in and out for their shifts at designated locations.
-
Wristbands or ID tags will be issued for easy identification.
Post-Event Perks & Recognition
-
Volunteers may receive references or priority placement for future events.
-
No formal certification will be provided, but event management students can gain valuable experience.
-
A post-event debrief session may be organized for feedback and networking on Monday/Tuesday.
